Summary of Job Duties and Responsibilities
The Purchasing & Logistics Assistant supports the daily operations of the supply chain department by assisting with purchasing activities, inventory control, and shipping & receiving. This role is vital in ensuring accurate and timely procurement of materials, maintaining inventory accuracy, and supporting smooth inbound and outbound logistics. The ideal candidate is detail oriented, highly organized, and capable of multitasking in a fast-paced manufacturing environment.
Key Responsibilities:
Purchasing Support
• Assist with issuing purchase orders, tracking orders, and communicating with vendors on order status
• Collect quotes, pricing, and lead times
• Maintain vendor files and purchasing records
• Help resolve discrepancies on purchase orders and invoices
• Monitor open purchase orders to ensure timely delivery
Inventory Support
• Assist with cycle counts and inventory audits
• Help track inventory levels and report shortages or excesses
• Support inventory reconciliation in ERP system
• Coordinate with production and warehouse teams for material needs
Shipping & Receiving Support
• Assist with processing incoming and outgoing shipments
• Verify packing lists, bills of lading, and incoming goods for accuracy
• Coordinate with carriers for pickups and deliveries
• Help maintain receiving records and file shipping documents
Skills & Qualifications: Required:
• High school diploma or GED; associate degree or coursework in business, supply chain, or logistics a plus
• 2+ years of experience in a purchasing, inventory, or logistics support role (manufacturing preferred)
• Working knowledge of inventory systems or ERP software (FishBowl, SAP, NetSuite, etc.)
• Proficient with Microsoft Excel, Outlook, and Word
• Strong attention to detail and accuracy
• Good organizational and time management skills
• Strong verbal and written communication
• Ability to work independently and as part of a team
Preferred:
• Experience in a manufacturing or industrial setting
• Familiarity with shipping platforms (e.g., FedEx, UPS, freight coordination)
• Forklift certification or willingness to be trained (if needed in receiving)
Work Environment:
• Office and warehouse setting
• Must be able to lift up to 50 lbs occasionally
• May be required to assist in warehouse tasks during busy periods
• Understanding the procedures involved in purchasing, receiving, and shipping goods is essential.
